Explanation of Rx Statuses and How They Work

The Rx Order Statuses in Uprise provides the option to view the status of an order. This is accomplished by going to the Patient tab, the next step is to look up the patient and at a glance you will see what stage the order is in the process. 

Orders vs. Quotes

Technically, Rx Order is the umbrella term  for the stage of an order.

  • When an order has a status of either Quote or Accepted Quote, it’s an Rx Order Quote. This means that the order is in either one of these two statuses. 
  • When an order has a status of Ready to Order, Sent to Supplier, Received, Inspected, Patient Notified, or Dispensed, then it is an actual order, not just a quote. When you see the word Rx Order, think of an order in one of those stages of the process. 

Quote

This status is assigned if you save an order, but don’t add it to an invoice. An order in this status is considered a quote because the patient has not yet agreed to go ahead with this order.

Accepted Quote

If you add an Rx Order to an invoice (in Uprise that’s called posting an Rx Order to an invoice), as long as the invoice is still a draft invoice, an order is considered an Accepted Quote. Accepted Quotes cannot be submitted to suppliers yet. Until an invoice is finalized (it’s called posted in Uprise), the order that’s on it, is an Accepted Quote.

Ready to Order

Once you finalize an invoice, the order is no longer either of the statuses that make it an Rx Order Quote. It’s now actually an Rx Order that can be submitted. The initial status of such an order is Ready to Order until it is actually sent to the supplier.

Sent to Supplier

The Rx Order was sent to the supplier. You are currently waiting for it to come back.

Received, Inspected & Patient Notified

Once the Rx Order arrives back at your practice, it is in the dispensary, where orders are received and inspected for quality, and where patients are notified that their pair of glasses or contacts is ready to be picked up.

As you complete each step, mark it on the Rx Order so that Uprise can update the status of the Rx Order accordingly. Depending on the way the dispensary is set up at your practice, one person might do all three steps at the same time, or they might be done at different times and even by different people. This way, you always know who did what step and if there are any questions, you know who to ask.

Pro-Tip: If you accept the order, inspect it, and call the patient right away, you can just skip Mark Received and Mark Inspected. Click on Mark Notified; Uprise will mark both Received and Inspected as well.

 

Dispensed

This is the last status in the course of an Rx Order, once it is dispensed to the patient.

Canceled

You can cancel an Rx Order at any time. Remember to be careful with this, as this cannot be undone. Canceled Rx Orders have a status of Canceled and are tracked this way.
